Understanding Roles & Permissions
Bliply uses a hierarchical role-based access control system. Every user has exactly one role that determines what they can see and do within your gym.
Available Roles
| Role | Description | Access Level |

| Gym Admin (Owner) | The gym founder/owner | Full unrestricted access to every feature, setting, and data point. Cannot be deactivated by other admins. |
| Gym Manager | Senior operational staff | Full operational access: Schedule, Members, Workouts, Payments, Messages, Automations, Memberships, Appointments, Insights, Legal, Calendar, Payroll, Website, Tasks. |
| Gym Staff (Coach) | Day-to-day coaches and trainers | Limited access: Dashboard (no financials), Workouts, Tasks, Schedule (read-only class list), People list (phone numbers masked). |
| Athlete (Member) | Gym members | Member app only: booking, activity tracking, badges, workouts, nutrition, progress photos, appointments, profile. |
What Staff CANNOT Access
- Financial metrics on the dashboard (revenue, payment data)
- Lead pipeline and CRM data
- Messaging system (Compose, Templates, Alerts, Media Library)
- Automations
- Appointment configuration (can view their own schedule only)
- Import tools (bulk member import, data import)
- Recurring class schedule management (can only view classes)
- Leave requests for other staff (can only manage their own)
- Settings and configuration
Task Visibility Rules
Tasks follow a strict hierarchy: staff cannot see tasks created by or assigned to managers/admins. Managers can see all tasks including staff-level ones. This prevents staff from viewing operational decisions or admin-level work items.
Assigning Roles
- Navigate to a member's profile in People.
- Click Manage Role.
- Select the appropriate role from the dropdown.
- Save — the member's access updates immediately.
The Gym Founder
The first admin who created the gym is designated as the "founder." The founder cannot be deactivated, cancelled, or have their email changed by other gym admins — only by platform administrators. This prevents accidental lockout.
