Any staff member can report a fault, from the gym admin area or from the Maintenance section of the staff app.
Reporting a fault
- Open the equipment — scan its QR code, or find it in the Maintenance list.
- Select Report a fault.
- Choose a severity (low, medium, high or urgent), describe the problem and add photos.
- Choose whether to flag the item as out of service. For urgent faults this is always applied.
Every fault automatically creates a linked maintenance job so the work can be assigned and tracked. Managers are notified straight away, and urgent faults always notify them regardless of notification preferences.
Out of service
An out-of-service item is clearly flagged everywhere it appears so nobody uses it. Only admins and managers can return it to service, and downtime is recorded from the moment it was flagged.
Resolving a fault
Admins and managers select Mark resolved on the fault and add notes on what was done. This closes the linked job and, once no faults remain open, puts the equipment back into service. The person who reported it is notified.
Notifications
Staff control equipment notifications under Profile → Notifications → Equipment & maintenance. Urgent faults are always sent.
