Scheduling Price Changes
The Pricing Changes tool lets you raise (or lower) the price of one membership payment option, a hand-picked set, or every recurring membership across your gym — and decide whether the change applies to the package price, to existing members' subscriptions, or both. All changes are scheduled for a future date so members get the legally required notice.
Opening the Tool
- Go to Memberships in the sidebar.
- Switch to the Pricing tab.
- Click Schedule a Change to open the wizard, or browse already-scheduled changes in the list below.
Step 1 — Choose What to Update
Pick one of three update targets:
- Package & Members (default) — Updates the membership's standard price and uplifts the recurring fee on every existing member subscription.
- Package only — Updates the standard price shown on new sign-ups. Existing members keep their current rate. This is the only option that can take effect today.
- Members only — Leaves the published package price untouched but uplifts existing member subscriptions. Useful for legacy rate harmonisation.
Step 2 — Choose the Scope
- Single payment option — Pick one membership and one of its payment options, then enter the new price directly.
- Selected memberships — Tick multiple memberships and apply a percentage or fixed-amount change to every recurring payment option on them.
- All memberships — Apply the same percentage or fixed uplift across every active, recurring membership in your gym.
Step 3 — Set the Effective Date
The earliest date you can pick depends on your Price Change Notice Days setting (Settings → General). For example, if notice is set to 30 days, member-touching changes must be scheduled at least 30 days out. Package-only changes can be effective immediately.
Step 4 — Review the Preview
Before confirming, the wizard shows two reviewable lists so you can fine-tune the scope:
- Memberships — Every payment option that will be touched, with old → new price.
- Members — Every individual member subscription that will be uplifted (shown when the target includes members).
Untick any row to exclude it from this scheduled change. Excluded rows will keep their current price.
Step 5 — Schedule
Click Schedule Change. The system creates one record per affected payment option and saves the planned price for every included member. You'll see a toast confirming how many records were scheduled.
Reviewing Scheduled Changes
The Pricing tab lists all upcoming changes, grouped by effective date. Click any row to open the detail modal, which has two tabs:
- Memberships — One row per affected payment option, showing the package price delta and the projected MRR impact.
- Members — Every individual member subscription scheduled to be re-priced, with their current and new recurring fee.
Why you might see "Members only" rows in the Memberships tab: every scheduled change is keyed by payment option, even when the package price isn't moving. For "Members only" changes, the package MRR delta will show as "—" because the published price is unchanged; those rows simply tell the processor which members to uplift. The actual member-level changes live in the Members tab.
When Changes Are Applied
A scheduled job runs daily and processes any change whose effective date has arrived:
- Package prices are updated on the membership payment options.
- Each included member's Stripe subscription is updated to the new recurring amount on their next billing cycle.
- The change row is marked as Applied.
Cancelling a Scheduled Change
Plans changed? You can cancel before the effective date:
- Cancel a single row — Click the cancel icon next to any payment option in the detail modal.
- Cancel the entire batch — Use the Cancel All button at the top of the group.
As a safeguard against accidental cancellation, you must type CANCEL in the confirmation dialog before the action runs. Cancelled changes will not be processed and the affected memberships keep their current pricing.
Settings That Affect This Feature
- Settings → General → Price Change Notice Days — Minimum notice period for member-touching changes.
- Settings → General → Currency — Currency used to display all prices in the wizard and previews.
Good to Know
- Trial and archived memberships are excluded from bulk scopes.
- Members on active, on hold, or trial subscriptions are included in member-level changes; cancelled, expired, and suspended subscriptions are skipped.
- Per-member price exemptions (set on the member's membership) are respected — exempted members will not be uplifted even if they fall inside the scope.
- You can run multiple scheduled changes for the same membership at different effective dates; they apply in date order.
