Access Control & Permissions
Planning Boards support granular access control to ensure the right people can view or edit each board.
Minimum Role Requirement
Each board has a minimum role setting that determines who can see it:

| Owner Only | Only the board creator and admins |
| Admins | Gym admins and above |
| Managers | Managers, admins, and above |
| All Staff | Every staff member at the gym |
A role badge is displayed next to the board name so you can see the access level at a glance.
Read Only vs Editable Toggle
Each board has a Read Only / Editable toggle:
- Editable — Any staff member meeting the minimum role can edit the board.
- Read Only — Editing is restricted to the board creator, admins, or users with explicit edit permissions. All other users can view but not modify.
Per-User Permissions
- Open the board's Access dialog (click the access/share icon).
- Add specific team members with either View or Edit permission.
- These override the minimum role — you can grant a staff member access to an admin-only board.
Edit Locking
To prevent concurrent overwrites, Planning Boards use real-time edit locking:
- When someone opens a board for editing, other users see a lock banner showing who is currently editing.
- Locked users can still view the board in read-only mode.
- The lock releases automatically when the editor closes the board or navigates away.
