Gym Automation Flow Templates
Navigate to Content → Gym → Automation Templates to manage the master library of automation workflows that are pushed to gyms.
Template Library (16 Templates)
The platform maintains 16 automation flow templates across 5 categories:
Onboarding (1)
- Welcome Series — Triggered on member signup; sends a welcome email.
Growth (3)
- New Lead Follow-Up — Triggered when a lead is created; sends a follow-up email.
- New Trial Membership Welcome — Triggered on trial start; welcomes new trial members.
- Trial Expiry Conversion — Triggered when trial is expiring; encourages conversion. Multi-step: initial email + final nudge.
Retention (5)
- Post-First-Class Follow-Up — Triggered after first class attendance.
- Inactivity Check-In — Triggered after 7 days no attendance (excludes members on active hold).
- Birthday Message — Triggered on member birthday.
- Milestone Celebrations — Triggered on attendance milestones (50, 100, 250 classes).
- Retention Risk - Re-Engage — Triggered when engagement score drops below threshold.
Revenue Protection (3)
- Membership Expiry Reminder — Multi-step: 14, 7, and 3-day reminders before membership expires.
- Failed Payment Recovery — Sends payment update reminders with escalation if unresolved.
- At-Risk Member Re-engagement — Targets members with declining engagement scores. Two-step: initial follow-up + re-engagement offer.
Lifecycle (2)
- Trial First Session(s) / No Session Check-in — Follows up if a trial member hasn't attended any classes.
- Trial Ended — Messages members whose trial has ended without conversion.
Operational (2)
- Referral Thank You — Acknowledges members who refer new sign-ups.
- Membership Upgrade Prompt — Suggests upgrade after 4 consecutive weeks of maxed usage.
Starter Pack (10 Flows)
When a gym is activated (status → Active), 10 of these 16 templates are automatically provisioned as active flows via a database trigger. The remaining 6 are available for manual import from the gym's template library.
Push All
Use the Push All action to upsert all 16 master templates into every gym's local repository. This is useful after updating templates to ensure all gyms have access to the latest versions. Key behaviours:
- Templates are matched by name — existing templates are updated, new ones are inserted
- Local customisations are not overwritten — the pushed version is stored as a snapshot
- Gyms can Revert to Default (requires typing REVERT) to restore the platform version
Template Structure
Each automation template includes:
- Trigger configuration — Event type and parameters (e.g.
member_signup,inactivity_days: 7) - Nodes — Sequence of trigger, action (send email, delay, condition), and exit nodes with positions for the visual editor
- Edges — Connections between nodes defining the flow path
- Exit conditions — Rules for removing members from a running flow (e.g. "exit if member attends a class")
