Lead Pipeline
The Gym Leads section (sidebar → Sales & Growth → Gym Leads) tracks prospective gyms from initial interest through to conversion. A badge in the sidebar shows the count of new leads requiring attention.
Lead Statuses
| Status | Meaning | Your Action |
|---|---|---|
| New Lead | Just entered the system — shows in sidebar badge count | Review and assign within 24 hours |
| Contacted | Initial outreach has been made (email, call, or message) | Log the contact method and outcome |
| Demo Scheduled | A demo call has been booked | Ensure demo booking is created and linked |
| Proposal Sent | Pricing or contract has been shared with the prospect | Set a follow-up reminder for 3-5 days |
| Negotiating | In active discussions about terms, pricing, or features | Document concerns and requirements in notes |
| Won | Converted to a paying customer | Create gym account, begin onboarding |
| Lost | Did not convert | Record reason for loss (pricing, competitor, timing, etc.) |
Creating a Lead
- Click + Add Lead at the top of the leads page
- Fill in: contact name, email, phone (optional), gym name, source
- The lead is created with status "New Lead"
Lead Sources
Leads can enter the system from multiple channels. The source is tracked for attribution reporting:
- Website Form — Submitted via the public contact or interest form
- Demo Booking — Booked via the /book-demo page
- Manual Entry — Added by a platform team member
- Referral — Referred by an existing gym customer
Lead Detail View
Click on a lead to open their detail view. From here you can:
- Update status (moves them through the pipeline)
- Add notes (timestamped, visible to all platform staff)
- Schedule follow-up reminders
- Link to a demo booking
- Convert to a gym account (on "Won" status)
- View activity history (all status changes and notes)
Lead Automation
The New Lead Follow-Up gym-level automation template exists for member-level leads. For platform-level gym leads, manual follow-up is currently the primary workflow.
