Class Check-In & No-Shows
Attendance can be recorded three ways: a coach checks members in on the kiosk or display, staff mark them on the class register, or members check themselves in from the member app. All three set the same attendance record.
Setting the member check-in window
- Go to Schedule → Settings.
- Find the Member check-in window card.
- Opens (minutes before start) — how early members can check themselves in. Default 10 minutes, maximum 180.
- Closes at midnight on the class day — leave this on for the simplest rule, or switch it off and set Closes (hours after class ends) (1–24 hours).
The window uses your gym's timezone. Keeping the opening time short stops members checking in from home hours before a session, which would give you a misleading picture of who is in the building.
How no-shows are recorded
Once the check-in window for a class closes, any booking still not checked in is automatically marked as a No-show. This runs every hour, and the member receives a notification telling them they weren't checked in.
- Class credits are not refunded for a no-show — the credit was used at booking.
- Cancelled classes are never marked as no-shows.
- Only recent classes are swept, so retrospective schedule changes won't trigger a wave of old no-shows.
Clearing a no-show
If someone did attend, checking them in clears the no-show automatically:
- Kiosk / display — no-show bookings still appear in the list; tap the member to check them in.
- Class register — open the class in Schedule, go to the bookings list and use Mark attended.
- Member app — the member can check in themselves while the window is still open.
After the window has closed, only staff can correct the record.
Where no-shows show up
No-shows appear as a badge on the booking, in class attendance figures, and in the member's Engagement Intelligence Score, where repeated no-shows lower the attendance signal. They are a useful early warning of a member drifting away.
Troubleshooting
- A member says they couldn't check in — check the opening time in Schedule → Settings; they may have tried too early, or too late if you shortened the closing window.
- Everyone in a class is a no-show — nobody was checked in on the kiosk. Mark them attended from the class bookings list.
- Member didn't get the no-show notification — they may have switched off Missed class reminders in the app, or have no registered device.
Logging results from the Display Kiosk
Coaches can record results for members straight from the kiosk roster.
- Sign the member in. A Log button (clipboard icon) appears next to their green tick when the class has a workout with scored parts.
- Tap it. A window opens showing the member's name and each scored part of the workout (e.g. Strength, Conditioning) as buttons along the top.
- Enter the result using the same form members use in the app, then tap Save & next. You move straight to the next part not yet logged; the window closes after the last one.
- Tap a part that already has a tick to edit it, or use Delete to remove it.
- The button shows progress, e.g. 1/2, then Done once every part is logged.
- Results are saved to the member, so they appear in their app, history, PRs and the leaderboard as if they logged it themselves, and they can edit them later.
- Visibility starts on the member's usual choice (or shown with their name if they have none).
- Only gym staff (admins, managers and staff) see the Log button.
Who can be booked or signed in
Bookings and sign-ins are only allowed for members with a valid membership for the class's programme. This is checked every time someone is booked, signed in with the tick, added from the kiosk search, or moved up from the waitlist. Nobody can override it, including admins and bliply team accounts.
- Valid: an active or trial membership that includes the programme, has started, hasn't ended and isn't on hold, or a class pack for the programme with credits left and no failed renewal payment.
- Kiosk search: members who can't be booked show a red label (No membership, No programme access, Suspended, Payment failed, No credits) and can't be selected.
- Refused actions: if a booking or sign-in is refused, a message explains why, for example "This member has no active membership".
- Failed payments: when a membership payment fails, the member is suspended, their upcoming bookings are cancelled and they're notified in the app. Once the payment succeeds they can book again. Cancelled bookings aren't restored.
To let someone train, first give them a membership, trial or class pack that covers the programme, then book them in.
