Multiple Coaches on a Class
A class can have one lead coach and any number of additional coaches. Use this for busy sessions, coach development, specialist sessions or anywhere more than one coach works the floor.
Lead coach vs additional coaches
- The lead coach is the main contact for the class. They are shown first everywhere, are the coach members see highlighted and are the coach changed by coach rotation.
- Additional coaches are shown alongside the lead. Each one is treated separately for pay, leave and cover, so a class with three coaches creates three pay sessions and can have up to three separate cover requests.
- A class needs a lead coach before additional coaches can be added. The same person can't be both lead and additional coach on one class.
Adding coaches to a single class
- Go to Schedule and open the class (or click Add Class).
- Choose the Coach (the lead).
- Under Additional coaches (optional), use Add a coach to pick each extra coach. They appear as chips.
- To remove one, click the x on their chip.
- Click Save.
Adding coaches to a recurring class
- Open the recurring class template from the Schedule.
- For each weekday, choose the lead coach and add any Additional coaches. Different days can have different coaches.
- When editing, switch on Update all future classes to apply the new coaches to classes already created from the template. Leave it off to only affect newly generated classes.
- Past classes are never changed.

Changing coaches from the Display Kiosk
On the kiosk roster, tap the coach name to change the lead coach. The same panel lists the class's Additional coaches.
Pay
Payroll creates a separate session for every coach on a class, using each coach's own pay rate. If coaches change later, sessions still in draft are refreshed; approved or paid sessions are never altered.
Leave and cover
- When a coach books leave, a cover request is raised only for their slot. The request shows whether it is for the Lead coach or an Additional coach.
- For an additional coach, managers can choose Remove coach instead of finding cover, if the class can run without them. No cover is then needed and no pay session is created for that slot.
- Covering a lead coach replaces the lead; covering an additional coach replaces only that additional coach. The rest of the team is untouched.
Troubleshooting
- Coach missing from the rota: check they were added on that date's class, or that Update all future classes was switched on when editing the template.
- No pay session for an additional coach: check they have a pay rate set in Payroll, and that the class isn't cancelled.
- Can't add someone: they may already be the lead coach, or not have a staff role in the gym.
